Privacy Policy

Version 2026-10

1. Overview

Goodtime Hire Group (“we”, “us”) respects your privacy. This policy explains how we handle personal information, guided by the Australian Privacy Principles in the Privacy Act 1988 (Cth). We only collect what we need to plan, deliver and support your event.

2. What we collect

  • Contact details — your name, email address, phone number and, for corporate bookings, company details.
  • Event details — event date and time, delivery address, venue information, access notes (stairs, parking, surface) and any venue contact.
  • Venue photos and files — photos of your setup area, reference images, logos and artwork you upload.
  • Personalisation — wording, names, dates and design choices for personalised items.
  • Account information — your login email and a securely hashed password if you create an account.
  • Payment information — card payments are processed by Stripe. Your full card number is entered directly with Stripe and is never stored on our systems. We keep a record of payments and, with your consent, a Stripe reference to your saved card (such as its brand and last four digits) so we can charge your balance.
  • Enquiries and messages you send us, and basic technical information (such as browser type) needed to run the website securely.

3. How we collect it

We collect information directly from you when you book, create an account, upload files, send an enquiry or contact us. If someone else books on your behalf (for example, a planner or employer), they may give us your contact details for delivery purposes.

4. How we use it

  • To take and manage bookings, process payments, refunds and automatic balance charges you’ve consented to.
  • To check delivery distance and fees, plan delivery runs, and deliver, set up and collect items.
  • To design, proof and produce personalised items.
  • To send booking confirmations, reminders, proofs and receipts, and to respond to enquiries.
  • To keep records required by law (such as tax records) and to protect our items and business.
  • With your consent, to send occasional news and offers.

5. Who we share it with

We don’t sell your personal information. We share it only as needed with trusted providers who help us run our business, such as:

  • Stripe — card payment processing and saved cards.
  • Google (Tag Manager, Analytics and advertising tools) — website usage and ad measurement, as described under Cookies.
  • Our mapping provider (such as Google Maps Platform or OpenStreetMap services) — address lookup and driving-distance calculation. Your address is sent to calculate delivery fees.
  • Our email provider — to deliver booking emails and replies.
  • Our website hosting and file-storage providers, and professional advisers (such as our accountant or lawyer) where necessary.
  • Venues or event planners you ask us to coordinate with, and authorities where required by law.

6. Storage & security

Your information is stored electronically with reputable providers using access controls and encryption in transit. Only our team members who need it can access it. We keep booking and financial records for as long as required by law (generally 5–7 years for tax purposes) and delete or de-identify other information when it is no longer needed.

7. Overseas disclosure

Some of our providers (such as Stripe and mapping or email services) may store or process information outside Australia, including in the United States. We take reasonable steps to ensure they handle it consistently with the Australian Privacy Principles.

8. Marketing & opting out

We’ll only send marketing emails if you’ve opted in. Every marketing email includes an unsubscribe link, or you can email us at any time to opt out. You’ll still receive essential emails about your bookings.

9. Cookies

We use essential cookies to keep you signed in, remember your cart and your selected event date. We also use Google Tag Manager to load analytics and marketing tools (such as Google Analytics and advertising measurement) that use cookies to understand how people find and use our website and to measure our ads. These tools collect information such as pages visited, device and browser type, approximate location and how you arrived at our site. You can block or delete these cookies in your browser settings, or opt out of Google Analytics at tools.google.com/dlpage/gaoptout. We don’t use these tools in our staff admin area.

10. Access & correction

You can view and update most of your details in My Account. You may also ask us for access to, or correction of, the personal information we hold about you by emailing us. We’ll respond within a reasonable time (usually 30 days) and may need to verify your identity first.

11. Questions & complaints

If you have a question or concern about privacy, contact us at hello@goodtimehire.com.au or write to us in Brighton SA 5048. We’ll investigate and respond. If you’re not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
