Hire agreement

Hire Agreement & Terms

Version 2026-10·Applies to bookings made on or after publication

1. About these terms

These terms form the agreement between you (the person making the booking) and Goodtime Hire Group, of Brighton, South Australia (“we”, “us”). They apply to hire of our event pieces, purchase of personalised items and bespoke work. By ticking the box at checkout you agree to these terms. Where we give you a written quote for bespoke or corporate work, the quote and these terms apply together; if they conflict, the quote applies.

2. Bookings

  • A booking is confirmed when you receive our confirmation email after your deposit (or full payment) succeeds. Pieces in your cart are not reserved until then, apart from a short checkout hold.
  • Online bookings require at least 48 hours’ notice before delivery. Personalised items also require the production lead time shown on the product.
  • Each hire covers the hire period shown in your booking. Extra days are charged at the rate shown on the product.
  • You must be 18 or over to book and must give us accurate event, address and access information.

3. Deposits & payments

When you book more than 7 days before your event you pay a deposit of 50% of the booking total. The deposit is an initial payment toward your booking total — it is not a separate or additional fee, and it is treated the same as the rest of your payment for refund purposes under these terms.

If you book 7 days or less before your event, the full booking total is payable at the time of booking. Bespoke and corporate work may follow a payment schedule set out in your quote.

4. Automatic balance payment & saved card

  • The remaining balance (50%) is charged automatically to your saved card 7 days before your event start date. We email a reminder 3 days before the charge.
  • At checkout you will be asked for your express consent to save your card with our payment provider, Stripe, and to charge the balance on that date. We do not store your full card details.
  • You can pay the balance early or update your saved card at any time in My Account.
  • If an automatic charge fails we will notify you and retry (up to 3 more times). If the balance remains unpaid before delivery, we may treat the booking as cancelled by you after giving you notice and a reasonable chance to pay.

5. Cancellations by you

You can request a cancellation from My Account or by emailing us. Cancellation is measured from your event start time:

  • More than 7 days (168 hours) before your event: full refund of all amounts paid, including your deposit.
  • Within 7 days (168 hours) of your event: a cancellation fee of 100% of the booking total applies.
  • Delivery fees for a delivery that has not happened are refunded, except to the extent they are covered by the cancellation fee above.

Refunds are made to the original payment method, usually within 5–10 business days of approval.

6. Personalised & custom-made items

Personalised and custom-made items are made specifically for you. Once a personalised item reaches the “Production” stage, 100% of that item’s price is non-refundable on cancellation, because the work cannot be reused. Before that stage, personalised items are treated like the rest of your booking. Purchased personalised items are yours to keep once paid in full.

You are responsible for checking spelling, names, dates and layout on your preview or proof. Changes requested after approval require our agreement and may incur an artwork change fee of $25. You confirm you have the right to use any logos, images or text you supply.

7. Date & booking changes

Date changes are subject to availability and must be requested at least 7 days before your original event start time. Payments carry over to the new date. If the new date has a different price, delivery fee or balance date, we will adjust your booking and tell you before charging any difference. Changes requested later are treated case by case.

8. Delivery, access & your site

  • Delivery fees are based on driving distance from our Brighton studio and are shown at checkout. Some addresses require a manual delivery quote, which we confirm before charging.
  • You must tell us about stairs, lifts, long carries, parking restrictions, the setup surface and any other access issues. Surcharges may apply for stairs, difficult access, extended setup, after-hours or urgent deliveries.
  • Someone over 18 should be present (or the venue must provide access) during your delivery and collection windows. If we can’t access the site or it isn’t ready, we may charge a reasonable fee for a return trip or waiting time.
  • The setup area must be clear, level, safe and suitable for the pieces you have hired. We may refuse to install an item if we reasonably believe it would be unsafe.
  • For studio pick-ups, you are responsible for safe transport and must return items at the agreed time in the condition received.

9. Care of hired items

  • Items remain our property. Please use them only for their intended purpose at the delivery address.
  • Do not move installed items without our guidance, attach anything with tape, nails, glue or adhesive, or expose items to rain, sprinklers, open flame or strong wind.
  • Keep items supervised and secure. Leave them where we set them up, free of decorations, rubbish and food, ready for collection.

10. Damage, loss & replacement value

You are responsible for hired items from delivery (or pick-up) until collection (or return). Fair wear and tear is our responsibility. If an item is damaged beyond fair wear and tear, lost or stolen while in your care, we may charge you the reasonable cost of cleaning, repair or replacement, up to the replacement value listed for that item. We will provide photos and an explanation before charging, and will only charge the reasonable amount of our actual loss. Late returns may incur the extra-day rate for the item.

11. Venue permissions

You are responsible for obtaining any venue, council or landlord permissions needed for delivery, setup and use of our pieces, including access times, loading, and any rules about open flame, signage or fixings. Please share any venue requirements with us before your event.

12. Weather & outdoor setups

Many of our pieces are not designed for rain or strong wind. For outdoor setups, please arrange a suitable covered or sheltered area or a wet-weather plan. On the day, we may decline to set up outdoors, or relocate pieces to a safe area, if conditions are unsafe or likely to damage items. Where that happens because of weather and you have not arranged shelter, the booking is not cancelled by us; talk to us early and we will always try to help with alternatives or a date change.

13. If we need to cancel (force majeure)

If we have to cancel your booking — including due to events beyond our reasonable control such as severe weather, natural disasters, public health orders, vehicle failure or serious illness — we will tell you as soon as possible and offer you a full refund of everything you have paid, or another appropriate remedy you agree to (such as a new date or substitute pieces). We are not otherwise liable for indirect or consequential losses, except as provided by law.

14. Product unavailability

Occasionally a piece may become unavailable (for example, if it is damaged before your event). If so, we will offer a comparable alternative or a refund for that item, at your choice. If the unavailable item is essential to your booking, you may cancel the booking for a full refund.

15. GST, pricing & invoices

All prices are in Australian dollars and include GST. A tax invoice/receipt is emailed for every payment and is available in My Account. Corporate customers may request an invoice for payment by bank transfer; payment terms are as stated on the invoice. Discount codes and gift vouchers are subject to their own conditions and cannot be exchanged for cash.

16. Privacy

We handle your personal information in accordance with our Privacy Policy. With your permission, we may photograph our setups at your event for our portfolio; we will not publish identifiable guests without consent.

17. Australian Consumer Law

Nothing in these terms excludes, restricts or modifies any right or remedy, or any guarantee, warranty or other term or condition, implied or imposed by the Australian Consumer Law or any other law that cannot lawfully be excluded or limited. Our goods and services come with guarantees that cannot be excluded under the Australian Consumer Law. If there is a major failure, you are entitled to a refund or replacement, or to cancel a service contract and receive a refund for the unused portion, and to compensation for any other reasonably foreseeable loss or damage.

18. General

These terms are governed by the laws of South Australia. If any part of these terms is found unenforceable, the rest continues to apply. We may update these terms from time to time; the version that applies to your booking is the one you accepted at checkout (shown by its version number). Questions? Email hello@goodtimehire.com.au.
